Paying for Therapy: Understanding Payment Options Available to You
It is important to understand the options available to you in paying for your therapy sessions. One of the most commonly mentioned obstacles for potential clients seeking support is understanding how the cost of therapy is covered. We would like provide you with as much information as possible for you to make the best decision for you.
As a courtesy to our clients, we handle verification of benefits and claim submissions to several insurance companies. We strive to assist you in accessing the benefits you are entitled to by completing insurance forms as needed or billing your insurance company directly. However, it is important that all clients who agree to services with Water’s Edge Counseling recognize that they are fully responsible for understanding the mental health services covered by your health insurance policy. The client, rather than the insurance company, is responsible for paying all required fees including but not limited to copayments as well as deductibles.
If you prefer not to involve your insurer, you have the option to pay for counseling services out of pocket. In such cases, we will provide you with a “Good Faith Estimate” detailing the agreed upon cost of healthcare at Water’s Edge Counseling.
Certain health care plans, such as HMOs or PPOs, may require prior authorization for reimbursement of mental health services. Additional authorizations or approval may be necessary after a specific number of sessions or for certain types of treatment. It is the client’s responsibility to contact their insurer to become aware of any other requirements.
Billing:
For in-network insurance companies, we accept the contracted rate and your insurance pays us directly. You are responsible for paying only your copay, coinsurance, or deductible, similar to a visit to your physician’s office. The copayment required for counseling services is usually the same as if you were seeing a medical professional who is a specialist. We are in-network with all of the following insurances:
For out-of-network insurance companies, we provide you with standard billing services. This means you pay the full agreed upon fee at the time of your session, and we will provide you with an itemized invoice or “super bill” of services for which you have paid out of pocket. Your insurance provider will then reimburse you directly for their portion of the session fee.
EAP (Employment Assistant Plans) Benefits:
We may accept EAP benefits for new clients. To utilize this benefit, you must contact your EAP directly and request a referral to our practice and furnish our billing department with contact information to coordinate EAP benefits. Please note that we do not retroactively accept EAP payment for services already provided. This means once services have proceeded past the first visit, EAP benefits can no longer be applied.
Payment Policies:
To schedule sessions, we require a valid credit, debit, FSA, or HSA card on file. Your card will be automatically charged for your portion of the session fee.
Missed Appointment Policy:
At Water’s Edge Counseling, we aim to provide a positive and helpful counseling experience. Consistency in attending appointments is crucial for effective therapy. When you schedule an appointment, it is a mutual agreement. If you need to cancel or reschedule, we request that you notify your counselor at least 24 hours in advance.
Late Cancellations:
If you cancel less than 24 hours before your appointment, a fee of $75 will be charged. After two late cancellations, you will be removed from the clinician’s schedule and will need to call to resume services.
No Shows:
If you do show up for your appointment and do not call for whatever reason, a fee of $75 will be charged. After two no-shows, you will be removed from the schedule and will need to call to resume services.
Important note about late cancelations and no shows for appointments:
It’s important to understand in both cases of late cancelations and no shows that once you are removed from your clinician’s schedule there is no guarantee that they will be able to fit you in again at your same day/ time. In the event that the clinician has already filled your space, the client can be placed back on a waiting list to resume services when the clinician has availability open up.
Cancellations:
If you cancel at least 24 hours in advance of your appointment, no fee will be charged.
